Conference follow-up templates

Five templates for converting people you met at conferences and events into LinkedIn relationships and (eventually) pipeline.

Most conference follow-up is bad. Either generic 'great to meet you' messages that vanish into the noise, or aggressive pitches that burn the relationship. The templates below preserve the in-person warmth and create natural next steps.

Template 1 — Same-day connection request from event

Context: Sent within 24 hours of meeting at a conference.

Hey [name] — great chatting about [specific thing from the conversation] at [event] today. [Specific follow-up: a thought / a resource / a question they asked]. Connecting so I can find you again easily.

Use when: Within 24 hours. Later than that and the in-person memory fades.

Expected reply rate: 60–80% accept rate, 35–50% reply rate. Same-day is dramatically higher-converting than week-later.

Template 2 — Talk-attendee opener

Context: Sent to a speaker after attending their talk.

Hi [name] — caught your talk on [specific topic] at [event]. The point about [specific argument] is one I've been chewing on. Quick question that came up while you were talking: [specific question]. Worth a connect?

Use when: Within 7 days of the talk. Reference a specific moment, not just 'great talk.'

Expected reply rate: 25–40% reply rate. Speakers respond well to thoughtful follow-up from real attendees.

Template 3 — Panel-discussion follow-up

Context: After a panel discussion. Reference the specific dynamic.

Hi [name] — really enjoyed your back-and-forth with [other panelist] at [event] on [topic]. Genuinely curious what your unedited take is on [specific subtopic from the panel]. Connect?

Use when: Within 7 days. Reference the actual panel content.

Expected reply rate: 20–30% reply rate. Panels create memorable moments to anchor on.

Template 4 — Virtual event follow-up

Context: Sent after a webinar or virtual conference.

Hey [name] — saw your question in the chat at [virtual event] about [specific topic]. Took it as a sign we're thinking about the same problem from different angles. Connect?

Use when: Within 3-5 days of the event. Specifically reference something they said in chat.

Expected reply rate: 15–25% reply rate. Virtual events are lower-trust than in-person, so specificity matters more.

Template 5 — Dinner / sponsored event follow-up

Context: After a sponsored dinner or invite-only event.

Hi [name] — great to share a table with you at [event] last week. The story you told about [specific story] stuck with me. Following up because [reason: you mentioned something I want to follow up on / I have a resource they'd find useful].

Use when: Within 14 days. The exclusive-event context creates higher trust to start.

Expected reply rate: 45–60% reply rate. Sponsored / exclusive events have the highest follow-up conversion.

How to use these with AI personalization

These templates are scaffolds, not scripts. The strongest version of each comes from AI personalization that fills in the [specific reference] placeholders with real, prospect-specific details. Most of the reply-rate variance comes from the quality of those references — mail-merge filling them with generic strings underperforms hand-written, which AI synthesis can match at scale.
